November Meeting Minutes


Nov. 3, 2016, meeting started at 6:31

Present  are Tasha Miller, Jennifer Petersen,  Wendy Burnett, Jennifer Vogelzang, Amy Fox, Carrie Holtrop, Steve Menefee, Laura Reynolds, Carlos Angulo, Julie Scholten, Penny Walker, & Lisa Drinkwater

Reading of Minutes:  Wendy Burnett approved October’s meeting minutes Jennifer Vogelzang 2nd it after the correction of Jenniifer Petersen’s last name.

Director’s Report:  Attendance has been the best this year than ever before.  Sectionals have split up to practice more than ever and did a great job.  School parking lot needs a better reflective line for rehearsal.  Mr. Menefee would like to be out with the kids and would like to ask for a professional drill design for next year.  He figured it should cost between $3,000 - $4,000 to pay for a good drill design.  He would like to keep the band fee at $175 for a long time and would like to get electronic material that would help the kids to be able to memorize their parts in the program.  

Treasurer’s Report:  $11,479 collected from butterbraids and Disney down payment.  $19,810.69 total in checking.  $1,315 collected from 37 venders for Trinkets and Treasures booths.  We no longer sell Haggen gift cards.  One bounced check so far from a vender.  We have 70 students, 16 chaperones, 2 others, and Steve Menefee are going to Disneyland. Wendy Burnett is working closely with the travel agent and the travel agency has been paid for the Disney trip.

Uniforms:  Kids need to be checked for black socks, few went out in the field with the socks they came with and forgot to change to the black uniform socks.   More gold buttons may need to be purchased.  There are many uniforms that have missing buttons that have come off.  Jennifer Petersen is not able to come in during school time to have fittings for the students’ concert attire.  Penny Walker stated that she can help with the fittings.  A schedule may need to be set up so the students are able to sign up for their fittings during school.

Communications:  It was stated that sending out minutes under PDF and Word would be best.

Volunteer:  Good reviews on the volunteer sign up program and people like how it automatically sends out a reminder to the volunteers.  Still need a volunteer for drum major stand in Tumwater, but one of the kids stated that he would be able to do it if no one volunteered.

Unfinished Business:  Butterbraids sold 472 & brought in over $6,000; 12’s sold 67; See’s Candy has very few boxes left out of the 9 cases.

New Business:  Trinkets and Treasures- band students will be selling swags along with the FFA selling wreathes and poinsettias.  Details will have to be worked out on cost and how we will work with the FFA. It was brought up that we can reserve a booth for FFA/band to have presales.  Carlos Angulo has a Seahawks Fire Pit that he built and would like to have it raffled off to raise money for the kids.  It was thought that it could be at a booth by the Band Booster’s bake sale.  Kids, by state law, can’t sell the tickets.   Laura Reynolds asked for no more than $200 for advertising and is working on getting the Trinkets and treasures on the I-5 sign by freeway.  She has found many free advertising ways for this event.  Yankee candles may be the next fund raiser for the holidays done by on-line only.
