Band Booster Meeting

May 16, 2017

Reading of Minutes by Jennifer Pettersen. Minutes amended to show clothes will be given 20 cents to the pound.

Director’s Report: The Disney trip seems to really bond the kids. Too bad we can’t have it more often. Large 8th graders coming in next year. May end up as an open band next year in competitions. Thank you to all the parents that helped with all the fund raisers, behind the scenes at concerts, etc.

Treasurers Report: $11,000 checking, $32,000 savings. We are $100 less in Trinkets & Treasurers than previous time. Had to buy new shakos/bags/berets.

Committee Reports

Uniforms: All kids are fitted!! All uniforms & kids are parade ready. More gloves are on order. 29 don’t have gloves and will need to be ordered.

Communications: New web site will be ready this summer.

Volunteers: Port Townsend parade need help. See website

Sponsorship: June 7 next meeting @ 5:30 p.m. with a light dinner.

Unfinished Business

Trinkets & Treasurers: Need more help for the Fall.

Clothing Drive: Any clothing to get 20 cents/pound. Goal is 1000# or more. Band trailer is about 1/3 full. Clothes for the Cause. Shoes, bedding & stuff animals are ok. We get more money this way than trying to sell it at the Trinkets & Treasurers.

New Business

Booster Board Vote: Wendy Burnett, Penny Walker, Jennifer Petersen are voted in on the board.

End of Year Picnic is June 8 @ 5 p.m. @ BP

Concert: Tuesday, May 23 @ 7 p.m. Kids here at 6:15 p.m. concert attire.

April Meeting Minutes

FHS MARCHING BAND AND COLORGUARD
BAND BOOSTER MEETING
APRIL 13, 2017
Meeting called to order at 6:38pm

In attendance:  Steve Menefee, Amy Fox, Jennifer Vogelzang, Wendy Burnett, Greg Hansen, Lisa Drinkwater

Minutes are accepted as written for last month.
Directors Report:  Full speed ahead for parade and preparation for last concert.  We received superior rating at the Large Group Contest up at WWU, Good job Band!! 

Treasurer:  After all of the reserved accounts there is $13,357.69.  Savings account has $30,790.98 after the restricted accounts.  We have received $750.00 for Trinkets and Treasuers booths.  Taxes have been completed. 

Uniforms:  We have cumberbuns, bowties and new garment bags.  Wendy will come and refit kids during percussion class.  All other kids will need to sign up for fittings on April 20th, 24th and 27th after school from 2:30-4:00.

Sponsorship:  New golf cart, trailer maintenance, sweatshirts for the kids and drill design were all talked about during the meeting.

Disneyland:  We are all paid up for Disneyland.  We do not have an itinerary yet, but we do have a date for when they are performing.  The band will be performing through Disneyland on Saturday June 3rd. 

Trinkets and Treasurers:  Will ask band kids to go around to merchants in Ferndale to hand out signs for windows.   Jennifer Petersen will send out signups to help during the event.  Amy Fox will take care of the bake sale.  We will be accepting clothing but we will not be selling it at the event.  We will be collecting clothes to be given to a group in North Bend that will pay us $.30 a pound for them.

New Business: 

Greg Hansen came and talked to us about the website.  Talked about turning the website into a word press website.  

Our next booster meeting will be held on May 16th at 6:00pm.  The travel agent will be there to talk about our upcoming trip to Disneyland.  We will also be voting for board members for next year.  If you have interested in helping on the board or know of anyone that would like to, please make sure and let the current board members know.

After the booster meeting we will be having a chaperone meeting for all chaperones that are going to Disneyland.

February Meeting Minutes



Band Booster Meeting

Feb. 2, 2017

Present:  Steve Menefee, Amy Fox, Tasha Miller, Wendy Burnett, Jennifer Petersen, Becky Cleator, & Penny Walker & Julie Scholten

Called to order at 6:32 p.m.

Reading of Minutes:  Becky Cleator moved to accept the minutes, Wendy Burnett second it.

Director’s Report:  Pit orchestra is really busy.  Kids are willing to do all the basketball games that are assigned to them.

Treasurer’s Report:  Money hasn’t been transferred from fund raisers. Swags are paid for.  Made a Restricted Student Account –total of all money that is designated for each kid.

Committee Reports

  • Uniforms:  Feb. 22, after school, Wednesday, fitting for those that missed from 2:30-4:30 p.m.  Need to order shakos & bow ties.
  • Communications:  none
  • Volunteer:  All sponsorship people are on the email list
  • Sponsorship:  Date didn’t work out, will reschedule for another day

Unfinished Business: none

New Business:  Dr. Quinn had a PTO/Booster Meeting in regards to new bond for school.  Also Olympia will probably not be getting to budget until August.  Teachers may be getting RIFs before then.  Bond has nothing to do with teachers wages.  Please pass the word.

Yankee candle fundraiser, maybe do next year

Kracklin’ and Kamut still needs to be sold- $3.00 each

$10.00 for The Great Little Savings Book-kids get $5.00 from it.

$2,000 total band scholorships for seniors to apply.  Two students get $1,000.  Get the form on line or from Mr. Menefee and it has to be post marked and mailed to p.o. box 2014

Four kids to each room for Disneyland.  Itinerary is coming together.  February 15 next payment due and final payment is March 15.  Fairfield Inn is where they are staying.

Director’s Report:
  • Eight basketball games. 
  • Eight kids signed up for Jan. 28, Ensemble
Treasure’s Report: 
  • Over $25,000 in checking. 
  • Did sell gift certificates at concert. 
  • $400-$450 owe towards swags.
Committee Report:
Uniforms-
  • Nothing new.  Maybe, having another fitting for kids that missed last fitting.
Communications-
  • Dates will be put into Facebook for Basketball games
Volunteer-
  • No new information
Sponsorship Committee-
  • Jan 26, 2017, @ 6 pm. 
  • Laura Reynolds will put out an email and hold it at her house. 
  • Signs are great for Treasures & Trinkets for businesses for advertising.

November Meeting Minutes


Nov. 3, 2016, meeting started at 6:31

Present  are Tasha Miller, Jennifer Petersen,  Wendy Burnett, Jennifer Vogelzang, Amy Fox, Carrie Holtrop, Steve Menefee, Laura Reynolds, Carlos Angulo, Julie Scholten, Penny Walker, & Lisa Drinkwater

Reading of Minutes:  Wendy Burnett approved October’s meeting minutes Jennifer Vogelzang 2nd it after the correction of Jenniifer Petersen’s last name.

Director’s Report:  Attendance has been the best this year than ever before.  Sectionals have split up to practice more than ever and did a great job.  School parking lot needs a better reflective line for rehearsal.  Mr. Menefee would like to be out with the kids and would like to ask for a professional drill design for next year.  He figured it should cost between $3,000 - $4,000 to pay for a good drill design.  He would like to keep the band fee at $175 for a long time and would like to get electronic material that would help the kids to be able to memorize their parts in the program.  

Treasurer’s Report:  $11,479 collected from butterbraids and Disney down payment.  $19,810.69 total in checking.  $1,315 collected from 37 venders for Trinkets and Treasures booths.  We no longer sell Haggen gift cards.  One bounced check so far from a vender.  We have 70 students, 16 chaperones, 2 others, and Steve Menefee are going to Disneyland. Wendy Burnett is working closely with the travel agent and the travel agency has been paid for the Disney trip.

Uniforms:  Kids need to be checked for black socks, few went out in the field with the socks they came with and forgot to change to the black uniform socks.   More gold buttons may need to be purchased.  There are many uniforms that have missing buttons that have come off.  Jennifer Petersen is not able to come in during school time to have fittings for the students’ concert attire.  Penny Walker stated that she can help with the fittings.  A schedule may need to be set up so the students are able to sign up for their fittings during school.

Communications:  It was stated that sending out minutes under PDF and Word would be best.

Volunteer:  Good reviews on the volunteer sign up program and people like how it automatically sends out a reminder to the volunteers.  Still need a volunteer for drum major stand in Tumwater, but one of the kids stated that he would be able to do it if no one volunteered.

Unfinished Business:  Butterbraids sold 472 & brought in over $6,000; 12’s sold 67; See’s Candy has very few boxes left out of the 9 cases.

New Business:  Trinkets and Treasures- band students will be selling swags along with the FFA selling wreathes and poinsettias.  Details will have to be worked out on cost and how we will work with the FFA. It was brought up that we can reserve a booth for FFA/band to have presales.  Carlos Angulo has a Seahawks Fire Pit that he built and would like to have it raffled off to raise money for the kids.  It was thought that it could be at a booth by the Band Booster’s bake sale.  Kids, by state law, can’t sell the tickets.   Laura Reynolds asked for no more than $200 for advertising and is working on getting the Trinkets and treasures on the I-5 sign by freeway.  She has found many free advertising ways for this event.  Yankee candles may be the next fund raiser for the holidays done by on-line only.

Disneyland Trip Update

Payment Schedule
Please put funds in an envelope with the student’s name listed – plus any other attendee names listed– and turn in the envelope to Steve Menefee.  Please make checks payable to FHS Band.


10/14/16 - Nonrefundable deposit of $150 per person  DONE
11/15/16 - $185 per person
1/17/17 - $185 per person
2/15/17 - $185 per person
3/15/17 - $185 per person


Cost
The total cost of the trip is $890 per person.  This includes airfare, hotel, park entrance, and a $10 food voucher each day.
Students will need to bring money for meals, snacks, and any souvenirs they may purchase.

October Meeting Minutes

Attendance:

Reading of Minutes:
There is an amendment to the minutes: Amy Fox was at the meeting but name was left off. Laura Reynolds approved the minutes and Jennifer Petersen 2nd it.

Directors Report:
No Directors report as Steve was on the field with the band.

Treasurers Report:
After all of the restricted accounts there is $17,418.03 in the checking account and $25,521.20 in the savings account. Music for the fall show has been paid for

Uniforms:
All is good

Communications:
There have been changes to the website so we can have a third spot. Itineraries, booster minutes, Google calendar…all of that information is now on the website.

Volunteer:
Need to find additional chaperone for the weekend trip to Tumwater.

Fundraisers:

  • See’s Chocolate: - There is still chocolate bars available. If you would like some, please email the band 
  • Sponsorship ideas: Laura Reynolds is interested in speaking with companies about sponsoring the band. Opportunities the band is not taking advantage of and would benefit the band. 
  • Kracklin’ Kamut: Passed out samples at 2 football games. People want this product. Kids need to be more proactive in getting the product out to people. Setup a booth at the Trinkets and Treasurers. If kids man the booth they will get the profits. Someone will be here at 5:15 on Mondays to hand out the product. 
  • 12th Sign – Light up “12”. Comes with an adapter you can use in your car or your home. Can also hang on your Christmas Tree. Every part of the “12” has been manufactured in Whatcom or Skagit county. We purchase for $20, sell them for $30.


Trinkets and Treasures:
Applications have been sent out. We have received 13 applications so far. Laura Reynolds is working on advertising and putting ads in the papers.

Butterbraids:
Start selling October 14th. All orders need to be in by November 2nd. Orders will be in the week of Thanksgiving.

Next Meeting will be November 3rd at 6:30 pm in the band room
